Why was this re-design needed?
From Admins & Ops
Easy-to-configure workflows (without code)
Templates for repetitive approval flows
Visual feedback during complex configurations
From IT/Legal/Finance
Role-based task routing
Clear step visibility in approvals
Audit logs for compliance
From Platform owners
Scalable interface
Reusable logic
Customizability without tech help
Our goal was to redesign multiple key modules across the Expent platform to make them:
Easy-to-configure workflows (without code)
Templates for repetitive approval flows
Visual feedback during complex configurations
The modules we touched included:
Workflow builder
Vendor Configuration
Procurement intake
Contract and renewal tracker
Admin Dashboard & Settings
Design for control not confusion
Admins wanted flexibility - but not complexity. So we designed logic and configuration flows that were easy to scan and modify, with clear boundaries.
Show the story, not just the screen
Workflow steps, routing logic, and vendor risk had to feel readable - almost like a narrative. We brought this to life with visual hierarchy and contextual helpers.
Build once, Reuse everywhere
Instead of one-off UI fixes, we created a design system from the ground up. Tokens, spacing, components - all standardized and developer-friendly.
Dual-Toned UI Design System
Enhanced readability, accessibility, and visual clarity.
Workflow Builder (No-Code)
Drag-and-drop flow editor for approvals (e.g. finance → legal → IT).
Modular step blocks, if/else logic, parallel paths — all made no-code.
Allows users to effortlessly customise and create dashboards, enabling teams to track key metrics, manage workflows, and gain actionable insights - all in a visually intuitive interface.
Navigating the roadblocks
Complex Enterprise UX: Understanding Expent’s ecosystem and its many moving parts.
Balancing client expectations: Visualizing different approaches to guide better decisions.
Fast-paced changesAdapting quickly to shifting priorities and last-minute requests.
Merging multiple ideas: Clients often wanted a mix of two different solutions, requiring extra design iterations.
How we solved it
Conducted deep user research & usability testing
Iterated quickly while maintaining design consistency
Created clear documentation to justify design decisions
Reduced workflow configuration time by ~45%
Reused builder blocks across other modules → faster releases
Positive feedback from enterprise clients like Coinbase and Autodesk
Internal teams could now build flows without product/design support
Enterprise UX is all about configurability – Every feature must be flexible for different organizations.
Staying organised is crucial – Keeping track of priorities and deliverables ensures smooth execution.
Client collaboration is key – Presenting visualized ideas helps align expectations faster.
Structuring design narratives makes a big difference.
